TERMS & CONDITIONS

Eco Odyssey Laos (EOL)

  1. CURRENCY

All quotations and invoices issued by Eco Odyssey Laos (EOL) are in US Dollars (USD). Certain components may be calculated in other currencies, particularly for credit card payments.

  1. BOOKING PROCEDURES

By confirming a reservation with EOL, clients acknowledge and accept these Terms & Conditions. A signed reservation form is required for all direct bookings.

Booking Requirements:

  • Final confirmation of the program and total number of participants must be submitted no later than 6 weeks before departure (minimum 4 weeks).
  • To arrange travel permits with the Lao National Tourism Administration, EOL must receive a complete list of participant information—including full name, title, passport number, and occupation—at least 14 days before the trip.
  • Bookings may be made via email, phone, or fax and must include all required details.
  • Reservations are valid only upon receipt of official written confirmation from EOL.
  1. PAYMENT CONDITIONS

An invoice will be issued once EOL receives all required participant information and confirms the booking.

Accepted Payment Methods:

  • Credit card (3% processing fee applies)
  • Bank transfer (all bank charges are the client’s responsibility)
  • Cash payment

Bank details will be provided on the invoice.

  1. CANCELLATION POLICY

General Policy:
Cancellation fees apply as follows:

21–15 days

30% of total tour price

14–8 days

50% of total tour price

7–2 days

70% of total tour price

1 day or No Show

100% of total tour price

Note: Some hotels or cruises may have separate cancellation policies, which will be communicated at booking.

  1. FLIGHT ARRANGEMENTS

Airline schedules, availability, and fares are subject to change without prior notice. Once tickets are issued, airline cancellation and refund policies apply.

  1. CHILDREN’S POLICY
  • Ages 1–4: No charge for tours; single supplement not applied
  • Ages 5–10: 25% reduction on tour costs; no single supplement
  • Ages 11 and above: Adult rate applies
  1. TOUR LEADER BENEFITS

Tour leader discounts are applied per group size:

  • 8 – 11 guests: 20% discount
  • More than 12 guests: 25% discount

No free-of-charge (FOC) policy applies.

  1. CANCELLATION BY EOL

EOL may cancel services due to circumstances beyond our control, such as severe weather, natural disasters, or political events.
If cancellation occurs, EOL will refund all payments already made.

  1. INSURANCE REQUIREMENTS

All EOL-operated vehicles are insured for commercial passenger use while passengers are inside the vehicle.

Mandatory Travel Insurance:
All participants must hold personal travel insurance covering:

  • Medical treatment
  • Personal accident
  • Emergency evacuation or repatriation
  • Personal liability

Recommended Additional Coverage:

  • Trip cancellation or interruption
  • Loss of baggage or personal effects

Clients acknowledge that activities such as trekking, kayaking, rock climbing, and travel in remote regions carry inherent risks. EOL is not responsible for accidents, delays, illness, loss of property, or other incidents during the trip.

  1. PASSPORT & VISA REGULATIONS

Clients are responsible for ensuring passports are valid and visas are obtained. EOL is not liable if entry to the Lao PDR is denied due to incomplete or incorrect documentation.

  1. FEEDBACK & COMPLAINT RESOLUTION

Any concern or complaint must be reported immediately to the tour guide for prompt resolution.
If unresolved, clients should contact EOL management directly. A formal written complaint must be submitted within 30 days after the tour if the issue persists.

  1. SERVICE ETHICS

EOL is committed to delivering only the services we can reliably provide.
Our service is guided by honesty, responsibility, and respect for local culture.

  1. LIABILITY & RESPONSIBILITY

Clients understand that travel in Laos, particularly in rural or adventure settings, may involve challenges related to:

  • Accommodation and transport standards
  • Hygiene and safety
  • Infrastructure quality
  • Access to medical support

Adventure travel carries inherent risks. Clients assume responsibility for these risks.

EOL reserves the right to:

  • Adjust itineraries, transport, or accommodations when necessary
  • Remove participants who fail to follow safety instructions or behave disruptively

EOL works with reputable third-party partners but is not liable for their actions or omissions.
EOL is not responsible for clients who violate Lao laws or regulations.
No EOL staff or agent is authorized to modify these Terms & Conditions.
